✓ Submit your high-resolution logo (PNG or EPS) to info@nationalpetroleumday.com immediately — subject: "LOGO — [Company Name]"
✓ Confirm your full guest list at least one week before August 27th so wristbands and seating are ready
✓ Share National Petroleum Day posts on your company social media and tag @nationalpetroleumday
✓ Arrive at the Petroleum Club of Midland no later than 5:45 PM
✓ Bring business cards — this is the most influential energy room in the Permian Basin
✓ Reach out if you want to coordinate branded activations or giveaways at your table
DON'T
✗ Do not distribute marketing materials outside your designated space without prior written approval from NPD
✗ Do not add guests above your confirmed count without notifying our team in advance — seating is pre-assigned
✗ Do not use the NPD or Chevron logo in your own marketing without written approval
✗ Do not make claims about your sponsorship level beyond what is in your signed agreement
✗ Do not contact NPD honorees or the keynote speaker directly — all coordination goes through our team
Vendors & Booth Exhibitors

DO
✓ Submit your COI naming City of Midland AND National Petroleum Day, Inc. as additionally insured — do this immediately
✓ Arrive during your assigned load-in window — times sent the week of the event
✓ Be fully set up and staffed no later than 5:30 PM on August 27th
✓ Bring your own table, chairs, displays, and power strips
✓ Keep your booth within your designated space at all times
✓ Engage with the crowd — this audience is here to connect and do business
DON'T
✗ Do not sell or distribute alcoholic beverages from your booth — strictly enforced
✗ Do not expand beyond your designated booth space — no exceptions
✗ Do not begin teardown before 10:00 PM
✗ Do not bring generators without prior approval from NPD
✗ Do not leave your booth unattended during event hours — staffed 6:00–10:00 PM required

Food Trucks
National Petroleum Day Tailgate · Wall Street · August 27, 2026
⚠️ No Liquor Policy — Zero Tolerance
Food trucks may NOT sell, serve, or distribute alcoholic beverages of any kind at the National Petroleum Day Tailgate. Any vendor found in violation will be immediately removed from the event without refund. No exceptions.
DO
✓ Submit your COI naming City of Midland AND National Petroleum Day, Inc. as additionally insured before August 20th
✓ Ensure your City of Midland food handler permit and Texas food handler license are valid through August 27, 2026
✓ Arrive during your assigned load-in window — late arrivals risk losing their space
✓ Be fully set up and ready to serve by 5:30 PM
✓ Plan inventory for a full 4-hour service window — expect a large crowd
✓ Keep your area clean and leave your space cleaner than you found it
DON'T
✗ Do NOT sell, serve, or distribute alcohol — zero tolerance, no exceptions
✗ Do not operate outside your designated space on Wall Street
✗ Do not begin breakdown before 10:00 PM
✗ Do not leave waste, grease, or debris on the street
✗ Do not sub-contract your spot without written approval from NPD
Machinery Exhibitors

✓ Submit your COI naming City of Midland AND National Petroleum Day, Inc. as additionally insured
✓ Provide exact equipment dimensions (L x W x H) and weight for City of Midland approval
✓ Confirm transport and delivery logistics before August 15th
✓ Have a company representative at your equipment throughout the entire event
✓ Brand your display — showcase your company to the entire Permian Basin
DON'T
✗ Do not operate or run equipment without written approval from NPD and City of Midland
✗ Do not deliver without coordinating exact arrival time — street access windows are scheduled
✗ Do not leave equipment unattended — a rep must be present at all times
✗ Do not remove equipment before 10:00 PM without prior written approval
